ColdOS: Sense Installer Field Guide (Retail)

Retail Installation Preparation, Procedures & Closeout

Review this guide before arriving on site. It summarizes the equipment, site preparation, asset setup, installation, verification, and closeout steps required to complete a ColdOS Sense Temperature Monitoring installation.

1. Purpose

The purpose of the installation is to identify, document, and monitor refrigerated assets containing perishable product. In-scope assets generally include:

  • Walk-in coolers
  • Walk-in freezers
  • Reach-in coolers
  • Reach-in freezers
  • Other refrigerated assets specifically included in the assigned job

Generally do not include checkout-aisle or impulse-buy equipment, vendor-owned equipment, pharmacy equipment, or other assets outside the assigned project scope unless specifically directed.


2. Before You Go

Confirm that you have the equipment, tools, access, and job information needed to complete the installation.

Ndustrial-provided equipment

  • Gateway(s), Temperature sensors, Door sensors
  • Required mounting materials
  • Door-sensor magnet spacing template
  • Ndustrial edge device for network testing and troubleshooting

Installer-provided equipment

  • Standard installation tool bag
  • Ladder
  • Ethernet patch cables and other basic networking materials
  • Mobile phone or tablet with access to the required applications
  • Required PPE or site-specific safety equipment

Job information and access

Confirm that you have:

  • Access to the Ndustrial provisioning app
  • Customer provided access to Asset Management software (e.g. Linq)
  • The assigned network switch and port information (for networked gateway installations)
  • Any job-specific installation notes
  • Required asset barcode or QR labels (if any asset tagging/metadata capture is part of work scope)

The gateway must be connected to the assigned network port. Gateway networking cannot be completed without the correct switch and port information, provided by customer IT.

If the assigned switch port is already in use (with an existing patch cable), stop and contact Ndustrial or customer IT before proceeding.


3. When You Arrive

Check in

  1. Check in with the manager on duty.
  2. Introduce yourself as the technician completing the temperature-monitoring installation.
  3. Explain that wireless monitoring equipment will be installed on refrigerated and frozen assets included in the job.
  4. Request access to any locked, restricted, or secured areas containing assigned assets (including network closet/cabinet for gateway install).
  5. Let the manager know that you will review the completed installation with them and request their signature before leaving.

Complete a site survey

Before beginning installation:

  • Locate all refrigerated assets included in the job.
  • Confirm which assets are store-owned and within project scope.
  • Identify any missing, inaccessible, vendor-owned, or out-of-scope equipment.
  • Confirm the proposed gateway location.
  • Verify access to an electrical outlet and the assigned network port.
  • Identify where facility staff normally check temperatures when this information may help guide sensor placement.
  • Note any site conditions that could prevent or delay completion, and document any important findings.

4. Asset Tagging and Linq Setup

Complete the required asset-identification and tagging workflow in Linq before assigning Ndustrial equipment to each asset.

Open Linq in mobile browser (or downloaded mobile app)

(URL to Linq in browser will exist in provided Ndustrial provisioning app)

Use Linq to:

  • Review or enter required asset information.
  • Capture asset brand, model, serial number, and other required metadata.
  • Associate each asset with the correct barcode or QR tag.
  • Remove outdated asset-tag stickers when required.
  • Apply the replacement tag in the approved, accessible location.
  • Confirm that the new tag is correctly associated with the asset.

Complete the Linq workflow, and sync all changes/updates from Linq to ServiceChannel, before returning to the Ndustrial provisioning app to assign and install monitoring equipment in updated refrigeration asset list.

5. Gateway and Network Setup

Follow the gateway installation steps provided in the Ndustrial provisioning app.

Gateway placement

Install the gateway:

  • In the approved network location
  • Near the assigned network connection
  • Within reach of the required power source
  • Where it will not interfere with normal facility operations
  • Where it remains accessible for future service

Refer to the device-specific mounting instructions in-app.

Network connection

  • Connect the gateway only to the assigned network port.
  • Do not select a different switch or port unless instructed by the appropriate customer or project support contact.
  • Confirm that the gateway connects and reports successfully to the Ndustrial platform.

If the gateway cannot connect

Use the provided (if applicable) Ndustrial edge device and the network-testing workflow provided in the app.

  1. Connect the edge device to the assigned switch and port.
  2. Run the network-analysis utility.
  3. Review the results shown in the app.
  4. Submit or retain the generated logs as directed for Ndustrial or direct customer IT review.
  5. Document any unresolved network issue in the job notes.

6. Sensor Placement and Installation

Follow the device-specific mounting instructions presented in the provisioning app.

General placement guidance

Install sensors in locations that:

  • Represent normal product-storage conditions
  • Are visible and accessible for future inspection
  • Allow the device to remain securely mounted
  • Avoid interference with normal employee or customer activity
  • Support reliable communication with the gateway

When practical, place temperature sensors near an existing thermometer or near the area where facility staff normally verify temperature.

Most importantly, follow any asset type specific requirements (see Sensor Placement Guidelines in knowledge base), or also provided in-app, for sensor placement.

Avoid locations that may produce misleading readings, such as:

  • Directly beside doors or openings (unless installing a door sensor - see below)
  • In direct airflow from an evaporator or vent
  • Immediately beside heating elements or lighting
  • On the floor, or at the very top of a refrigerated space
  • In locations routinely blocked by product
  • In areas that do not reflect normal stored-product conditions

Door sensors

  • Follow the door-sensor installation wizard.
  • Use the provided spacing template for sensor contact mounting.
  • Confirm the sensor and magnetic component align correctly with acceptable space across a door to frame threshold.
  • Route and secure any sensor wiring according to the device-specific instructions.
  • Do not route wiring across the door threshold.

Assign every installed device to the correct asset in the provisioning app.


7. Temperature Verification

Allow installed temperature sensors time to normalize in their operating environment before completing verification.

Review each sensor reading against:

  • The expected temperature range for the asset
  • Other sensors installed in the same asset, when available
  • Nearby comparable assets with visible readings
  • Existing thermometers, gauges, or equipment displays
  • Current operating conditions, such as recent door openings, active cooling, service work, or restocking

If the reading is appropriate for the asset environment and does not appear inconsistent with available references, continue the installation workflow.

Additional reference measurement

Complete a reference measurement when:

  • The app requires it
  • A reading is outside the expected asset compliance range, provided by customer and to be used later by Nsight monitoring platform for temperature compliance
  • Two sensors in the same asset differ significantly
  • The reading appears inconsistent with nearby assets or available displays
  • The installer or facility representative raises a concern

An available reference may include:

  • An infrared temperature sensor or other trusted measurement device available at the facility
  • A built-in equipment thermometer or gauge
  • A refrigeration-system display

Record the reference reading, the installed sensor reading, the reference source used, and any required photo in-app.

If the sensor appears inaccurate, replace it through the provisioning sensor Return workflow. If the sensor appears to be operating correctly and the reading reflects an actual asset condition, document the condition and follow the approved exception process when applicable.


8. Complete and Close the Job

Before requesting customer sign-off, complete a final review.

Final installation checklist

Confirm that:

  • All in-scope assets are represented in Linq and the Ndustrial provisioning app.
  • Required asset metadata collection and tag placement are complete.
  • All installed devices are assigned to the correct assets.
  • The gateway is connected and reporting.
  • All sensors are connected and reporting.
  • Required device-verification steps are complete.
  • Temperature-verification requirements are complete.
  • Installed devices appear in the correct floorplan locations.
  • Required photos and notes have been captured.
  • App warnings have been resolved or documented through an approved exception.
  • Unused or replaced equipment is accounted for - it should no longer show in-app and if marked as Returned, installer should follow approved Returned merchandise process with Ndustrial (see Equipment Return in knowledge base).

Customer review and sign-off

Walk the completed installation with the manager on duty or other facility representative.

Review items such as:

  • Installed equipment and locations
  • System connectivity and reporting status
  • Temperature-verification results
  • Installation notes
  • Exceptions or follow-up items

After the review, capture the facility representative’s electronic signature in the provisioning app.

Before leaving

  • Confirm the job has been successfully completed or closed with the appropriate exception notes.
  • Complete any required customer vendor bag-check process with the manager on duty.
  • Remove tools, packaging, debris, and unused materials.
